HR & Administration Officer: Save the Children Sweden Jobs in Kenya

Reporting to The Regional Deputy Director.

Stationed in Regional Office, Nairobi, Kenya

Key Responsibility
  • Represents the employer on all human resource and staff welfare issues.
  • Oversee and manage the Regional office’s administration.
  • Manage the staff within the Regional office’s support and administrative functions.
  • Under the supervision of the Deputy Regional Director, take part in the overseeing and support to human resource, administrative and security issues at the two country offices in the region.
Main Tasks
  • Ensure all personnel records as employment, promotion, salary, leaves, work performance, medical, disciplinary measures etc are maintained according to SCS and Kenyan standards.
  • Ensure policies and procedures pertaining to staff evaluation, staff training and development, safety programs and standards, insurance etc are in place and are regularly reviewed.
  • Coordinate planned staff recruitments.
  • Prepare and issue new contracts for all new staff and consultants as per SCS policy.
  • Organize orientation programs for all new staff, prepare and keep updated orientation materials.
  • Coordinate training needs analysis and organize appropriate training programme for employees of the organization.
  • Develop training schedules and associated budgets for training activities.
  • Protect and follow up on general staff welfare, security and safety.
  • Update the regional office and regions staff lists as required.
  • Update and maintain a database of regional office networks and partners
  • Provide logistical and administrative support for staff welfare programs/activities.
  • Supervise and evaluate all staff under her supervision.
  • Provide advice and services on day to day employee relation issues and on programmes for involvement, empowerment and communication within the framework of SCS management policy.
Administrative
  • Ensure administrative and service contracts are in place and visas for expatriate staff.
  • Provide support to expatriate staff’s in line with the conditions stipulated in the Management Guide.
  • Ensure all property and premises under SCS ownership or responsibility are properly used and maintained.
  • Ensure appropriate and efficient transport services are available and provided to staff and other relevant people.
  • Being the security focal person on the day to day security issues and regularly develop and upgrade SCS security procedures.
  • Attend and represent the organization in the security meetings.
  • Ensure proper utilization and maintenance of SC-S equipments, assets and facilities.
  • Responsible for the general orderliness and cleanliness of the Regional Office.
Minimum Qualifications and Competencies
  • Bachelor’s Degree in the relevant field (human resources, administration and /or management) from a recognised University.
  • Minimum of Three years of relevant experience in human resources and administration preferably in a non-profit international NGO.
  • Good communications and inter-personal skills.
  • Ability to work in a multi-cultural environment. Must be self-driven, proactive and highly organized, with the ability to work under pressure.
  • Must have thorough knowledge of the Kenyan labour laws.
