Job Description

One Acre Fund is a rapidly growing organization; increasing the number of sub-locations, districts, and members we serve in each year.  

We are seeking a Logistics Data Analyst officer who will use a proprietary inventory management software (training offered upon hiring) to keep track of inventory movements across all of One Acre Fund Kenya's warehouses and stores. The Analyst will be asked to keep organized records and perform reconciliation of data where necessary.

Responsibilities

Data entry of weekly stock movements across 6+ warehouses across KenyaData analysis comparing stock cards, delivery notes, and other documentation to ensure accuracyWeekly reporting of inventory levels along with comprehensive understanding of stock movementsMaintain organized files of all stock cards, delivery notes, distribution sheets, purchase orders, and invoices for the logistics departmentPerform basic excel tasks using our client data to calculate purchase needs and distribution demandsThe logistics analyst will need to carry out a monthly 'inventory closing' and send this report to the supervisor.One Acre Fund invests in building management and leadership skills. We provide constant, actionable feedback delivered through weekly mentorship and through regular career reviews. We also have regular one-on-one meetings, where we listen to and discuss career goals, and work collaboratively to craft roles that employees are passionate about.

Role Purpose:

This role will lead or coordinate the set up or scale up of emergency response logistics functions and responsibilities and will supervise and manage logistics staff, under the supervision of the Country Logistics Manager. The role will include logistics support either to a medium sized country programme or to a particular emergency response or field base within a larger response. As such, the role may include remote management, management of remote field bases or direct line management of a particular logistics function.

The main responsibilities of this post will vary according to the terms of reference for each assignment.  

The post-holder is likely to undertake deployments such as Emergency Logistics Coordinator, Logistics Coordinator for a particular field base, or Procurement/Transport/Warehousing Coordinator.

 Objectives

The Somalia office manages an average inventory of approximately 30 to 35 M USD in its current operations amidst a very challenging and constantly changing distribution environment. 

The current staff set-up functions well and the staff are equipped to manage the day-to-day operations. That said, considering the high operational workload, any added task, especially the reconciliation of inventory or back-up tasks when staff are on leave, or the recent verification exercise on such a large-scale has a serious knock-on effect on the team that can quickly spiral into a backlog. The purpose of this function is to monitor ROs, prepare KPIs and dashboard statistics and review the inventory data for anomalies including monitor and manage the physical counts in all locations.

Purpose of the Position

Under the direct supervision and guidance of the logistics Specialist, the Logistics Officer will be responsible for providing technical and oversight monitoring for the logistics function in USSC.

Scope of Work

Under the general guidance of the Logistics Specialist, the staff will be required to:

Monitor Release orders (RO) from the time the signed ROs are received in the Supply & Logistics section to ensure accuracy of dataPrepare monthly KPIs to measure performance and track exceptions in the RO process, in terms of which ROs are delayed or stalled.Provide input to the dashboard statistics Review the inventory data for anomalies especially the Stock Differences Bin to ensure timely write offs for expired supplies, discrepancies in quantities and supplies on PSBMonitor and provide oversight for the physical count activities in all locations. Provide VISION support to the team and zones as requiredProvide back up functions during staff leaveFor the duration of the term, the following periodic reports must be made available:Fortnightly issuance of the Stock report:  Ensure preparation and issuance of the stock report every 2 weeks.Monthly report on expired stock:  Ensure preparation and issuance of the list of expired stock once a month and timely movement of the expired stock to the EXPIRED binSummary report on the status of the Physical count:  This should be prepared once all zones / locations have completed their physical count (quarterly)Extract and consolidate statistics for the Dash Board. This is an overview of statistical data to be shared Monthly reports on Key Performance Indicators. The goal of this five-year contract is to support USAID/East Africa Regional Health and HIV/AIDS (RHH) Office and USAID/Kenya’s Office of Population and Health (OPH) in making informed program management decisions, as well as to provide substantive support with qualitative, quantitative, and analytical information to assist in continually assessing and evaluating project portfolios. 

Evaluations performed under this project will contribute to the re-design of new, evidence-based follow-on activities and programs.

Duties and Responsibilities:

The Logistics Coordinator will be responsible for logistics and operations, including fleet and asset management, travel, and security.  The successful candidate will also manage technical and specialized procurement of supplies, equipment, and services, and coordinate with evaluation and support staff.

Key Qualifications:
