ICT Systems Administration Officer

Report to the Finance and Administration Manager and responsible for management and monitoring of ICT service support including the service desk, incident management:-

Job Profile
  • Ensure that hardware and software components of the Board’s ICT systems are availed and properly installed and maintained and that staff are adequately trained and supported to use them efficiently and effectively.
  • Ensure that the Board establishes and maintains appropriate connectivity for its networking, communications and other needs.
  • Manage all software of the various user departments such as human resources, payroll, finance and technical departments.
  • Ensure that backup of application software’s are regularly made and properly stored.
  • Manage web operations, provide internet support, allocate user rights and ensure security systems are in place.
  • Ensure that all systems are integrated and operate efficiently in accordance with IT guidelines i.e. LAN and WAN.
  • Liaise with external service providers for the maintenance and support systems, including minimizing virus interruption.
Personal Profile
  • University degree in Information science, Computer science, ICT or any other relevant field from a recognized University.
  • Professional qualification in ICT (Preferably with a post graduate diploma in ICT).
  • Professional qualification in networking.
  • At least 4 years experience in a busy ICT management environment, with 2 years as the head of systems administration in a busy organization.
Stores Clerk

Reporting to Procurement Manager

Key Responsibilities
  • Maintaining accurate records of stores.
  • Receiving and issuing materials as per approved policies and procedures.
  • Monitoring the consumption of stores materials.
  • Carrying reconciliation.
  • Maintaining primary books in the stores.
  • Participating in the procurement of stores as required.
  • Conducting stock taking regularly as per approved procedures.
  • Posting stores transactions to appropriate accounts.

Position: Stores and Logistics Manager

Department: Stores and Logistics

Supervised by: Operations Manager/Director

Supervises: Drivers, Riders, Stores assistants

Role Objective / Summary

To establish and implement logistics procedures in line with organizational requirements and ensure proper day-to-day stock control and the integrity of both physical stock levels on computer systems.

Duties and Responsibilities:

Stores
  • Maintain adequate store supplies.
  • Ensure all orders are properly documented and released for pick-up.
  • Management of all store operational issues, including store housekeeping, store administrative duties, physical inventories and price changes.
  • Receive and inspect all incoming goods and reconcile with purchase orders, track and act on any damages and/or discrepancies.
  • Maintain the stores in a neat and orderly manner in liaison with the General Manager.
  • Give daily, weekly and monthly reports as required.
  • Ensure day to day security of stocks.
  • Ensure perpetual inventory checking, organization of stock takes and scrutinizing stock values.
Logistics
  • Planning and scheduling the delivery and collection of goods.
  • Maintain accurate records of all deliveries.
  • Send back canceled and damaged items to vendors/suppliers as appropriate.
  • Establish and implement a vehicle management system ensuring proper documentation, logbooks, fuel consumption and servicing protocols.
  • Supporting other departments within the company to collect and deliver messages.
General
  • Answer queries regarding procedures and resolve discrepancies regarding receipts, deliveries and stocks.
  • Manage Stores and Logistics staff in line with good organizational practice.
  • Train and orient new employees into the department.
  • Conduct regular stores and logistics meetings and forward the minutes to the Operations Manager and the HR Manager.
  • Supervise stores and logistics staff to ensure safe, efficient and effective operations.
  • Any other duties assigned by management
Qualifications
  • At least 3 years’ experience in purchasing section with a busy ICT company.
  • Minimum of a diploma in Stores and Purchasing
  • Degree in purchasing and supply management will be an added advantage
  • Must have ability to understand and carry out oral and written instructions
  • Must demonstrate sensitivity to and respect for diversity
