Administration Intern: FilmAid International Jobs in Kenya


FilmAid International is a non-governmental organization that uses film to promote health, strengthen communities and enrich the lives of the world’s vulnerable and uprooted.

FilmAid is currently implementing programmes in Dadaab and Kakuma refugee camps in Kenya.

Office Administration
  • The intern will perform day-to-day administrative duties as assigned including receiving of FAI visitors and answering the telephone
  • In charge of receiving & redirecting of office mails, including organizing for collection of mail from the field and dispatch of the same.
  • In charge of office outlook: cleanliness & organization
  • The intern will be Taking weekly office minutes
  • Ensuring proper working of office utilities – Telephone, electricity & water
  • Ensuring steady supply of kitchen supplies including:- beverages, toiletries & cleaning supplies
  • Ensuring steady supply of office stationery, keeping record & taking stock of stationer
  • Processing of camp permits for all FilmAid visitors
  • Assist in organising flights and accommodation for FilmAid staff and visitors on travel
  • Arranging all travel documents for staff and advising them on all issues that relate to traveling both local and internationally.
HR administration Support
  • The intern will Maintain the leave schedule for Nairobi Office
  • Maintaining an up to date emergency contact list of all FilmAid staff
  • Preparing all staff IDs and providing all basic information to new staff
  • Research in obtaining relevant information for FilmAid personnel.
Logistics Support
  • Maintain a list of pre-qualified suppliers for all FilmAid purchases and regularly update the standard material list
  • In-charge of Nairobi office Storage & stores Management; process of issuing, security of stores, ensuring regular stock takes
  • Maintain the fixed asset register for Nairobi Office
Required Qualifications and Experience
  • Be of Kenyan nationality
  • Bachelors Degree or Diploma in Business Administration, commerce, recognized certificate of professional qualification in Accounting (ACCA, CPA) and / or other relevant discipline.
  • Proficiency in MS office packages. Proficiency in internet use will be an added advantage
  • Experience in Accounting and or office administration preferably with a humanitarian aid organization will be an added advantage
  • Ready to work for long hours, and able to travel to hardship areas
  • Team player, excellent interpersonal and communication skills
  • Ready to work with minimal supervision with ability to work both independently and as part of a team
  • Ability to prioritize multiple tasks
  • Detail oriented and good organizational skills
  • A valid driving license will be an added advantage
  • Commitment to humanitarian principles and action
