Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified. The candidate is responsible for any travel expenses incurred in order to take-up the appointment. Staff members are subject to the authority of and assignment by the Secretary-General. All staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.

Responsibilities
The United Nations Office in Nairobi (UNON) is the UN Headquarters in Africa and the representative office of the Secretary General. We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-HABITAT) globally as well as other UN offices in Kenya, by providing administrative, conference and information services. (www.unon.org).This position is located the Human Resources Management Service, Recruitment and Classification Section. Under the general supervision of the Chief, Recruitment and Classification Section, The incumbent will perform the following duties: - 1.Support, design, implement and distribute personnel management reports:- a) Liaise with the relevant offices to ensure that the staffing data is correct; b) Design reports in cooperation with client offices and other units in Human Resources Management Service (HRMS);c) Print and distribute standard Integrated Reporting Facility Application (IRFA) reports upon request;d) Generate and distribute Galaxy/Inspira reports on request;e) Initiate data correction requests with Human Resources Assistants and carryout data fixes towards this purpose;f) Upload and download Integrated Management Information Systems (IMIS) personnel data scripts. Liaise with IMIS Help Desk officers in other UN Offices; g) Design and implement SQL scripts.2. Generate and coordinate recruitment and management reports:- a) Analyze management requests and formulate effective database queries and design appropriate reports; b) Provide assistance to the Chief of the Section in preparing ad-hoc reports as required;c) Generate reports on various Recruitment and IMIS data;d) Modify reporting modules in line with the statistical reporting requirements; e) Prepare and update technical reports and documentation in collaboration with staffing and IMIS support; f) Liaise with the relevant offices to ensure that the data is correctly presented; g) Conduct periodic production of standard management and drill-down reports on information extracted from Databases. 3. Provide IMIS support:- a) Query SYBASE tables and run tests in IMISDIAG;b) Use the IMISDIAG database to demonstrate data entry to users; c) Troubleshoot IMIS related problems;d) Train new IMIS users understand the system and existing users to correctly implement desk procedures;e) Prepare PAS summaries;f) Assist users with general computer related problems.4. Process IMIS data when required:- a) Process index numbers;b) Maintain Performance Appraisal System (PAS) records in IMIS;c) Provide e-pas support to users on request. 5. Provide Galaxy/Inspira support:- Support and deliver training on Galaxy/Inspira to new and existing users as required.6. Support other databases used by HRMS staff:a) Provide support and training to new and existing users of other databases in HRMS;b) Design data entry and reports programs for the provision of management reports; c) Maintain HRMS personnel paradox database.7. Respond to IMIS related audit queries.8. Represent HRMS in technical IMIS related work groups.9. Perform other duties as assigned.

  • QUALIFICATIONS

    Education
    Completion of secondary school education. Formal training in database management, computer programming systems, design or related fields.

    Work Experience
    Minimum of seven years of relevant working experience in Computer Information Systems is desirable. Work experience in Human Resources is highly desirable. Knowledge and experience using relational databases including SQL is desirable.

    Languages
    English and French are the working Languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Working knowledge of other UN official languages is an asset.

    Other Skills
    Thorough knowledge of IMIS, ePAS Management, Galaxy/Inspira or other HR management system is desirable.
