Qualified applicants are invited to apply for the position of Supply Assistant, based in Nairobi. The successful candidate will be offered a Fixed Term appointment for one year. Further extensions will be based on organization needs, funding availability and satisfactory performance.
Purpose of the Post:
Under the supervision of the Procurement Specialist, the incumbent will be responsible for day to day procurement tasks.
Major duties and responsibilities:
1. Open files for draft PGMs and do a primary review prior to final review by the procurement specialist
2. Assist in obtaining quotations from suppliers and make tabulations.
3. Follow up with field offices on procurement related queries. Assist in maintaining PGM files
4. Receive and document invoices before directing them to the correct officer for action
5. Prepare payment requests for various transport services, purchase orders and other supply/logistics administrative services.
6. Maintain accurate and up to date filing system for all PGM files and its correspondence and generate monthly PGM/PO status reports.
7. Follow up on all supply and logistics documents forwarded to ESARO, CSS and with contractors/suppliers
8. Follow up PO delivery and update the PO delivery monitoring matrix and report to supervisor status of PO delivery on weekly basis.
9. Assist programme PAs with issuance of PGMs whenever they needed, calls and visitors and respond to general enquiries. Carry out pending tasks from Logistics and supply assistants’ handover notes.
Qualifications, Experience and competencies
- Completion of secondary education. Diploma in Business Administration, Management, Transport or related field.
- Three years of progressive work experience in Procurement activities.
- Ability to identify potential problems before they occur. Proactive in preparation and uses initiative in response
- Ability to manage day to day interactions with contracted external service providers and analyse their performance.
- Demonstrated capacity for self-organization.
- Computer skills, including internet navigation, and various office applications.
- Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization.
- Good communication skill both verbal and in written
