Internal Audit Manager
Job Summary
 
The holder of the position will be responsible to the Audit Committee of the Higher Education Loans Board and report to the Board Secretary/CEO on administrative issues. 
The job holder will ensure adherence to policies, legislation, procedures and standards in management including utilization of the Board’s financial and physical resources. 
The job holder will also ensure that proper measures are put in place to mitigate any risk that may arise in the operations of the Board.

Duties and Responsibilities
  • Initiate, formulate and implement Internal Audit policies;
  • Identify and critically evaluate elements of governance and risk management in the Board, design appropriate risk management and mitigation strategies for implementation;
  • Carry out internal audits in accordance with generally accepted auditing standards;
  • Develop new continuous improvement initiatives, evaluate the adequacy of internal control systems, report findings and recommend improvements;
  • Review management systems and programs and recommend improvements;
  • Liaise with the Board’s external auditors to update and enhance the Board’s compliance to financial management principles, policies, legislations, regulations and guideline;
  • Prepare timely and accurate audit reports for presentation to the management and to the Audit committee of the Board and ensure implementation of arising recommendations;
  • Ensure the Board’s compliance with statues, regulations and government guidelines;
  • Analyze the impact of Internal Audit policies and regulations.
  • Act as the secretary to the Audit Committee of the Board
Minimum Requirements
  • Bachelor’s degree in Commerce, auditing or accounting option, finance, or any other relevant field of study;
  • Masters degree in Commerce, Business Administration, Finance, Accounting or any other relevant field of study will be an added advantage;
  • Possession of at least CPA (K)/ACCA;
  • Certified Internal Auditors (CIA) certification or Certified Information System Auditor (CISA);
  • Registered member of the Institute of Internal Auditors;
  • Member of ICPA K of good standing
  • A minimum of eight (8) years’ work experience in Auditing at senior management level in a busy organization.
Key Competencies
  • Knowledge of computerized accounting and auditing record keeping systems;
  • Highly analytical individual with ability to gather, analyze and evaluate facts and to prepare and present concise oral and written reports;

Position Title: HIV/AIDS Project Officer

Reporting to: Regional Health Officer , Coast

Summary of Responsibilities

The successful candidate will be responsible and accountable for the effective planning, budgeting, implementation and evaluation of HIV/AIDS programme aimed at combating and reducing the prevalence and impact of HIV/AIDS on vulnerable communities within the Branch.

Other responsibilities include awareness creation, capacity building, and providing psycho-social support to people affected and afflicted by HIV/AIDS as well as delivering HIV/AIDS workplace training programmes.

Specific duties, Responsibilities, and Accountabilities
  • Develop the Branch HIV/AIDS annual plan and budget aligned to the Society’s strategic objectives as well as Government health policies and strategies aimed at combating the prevalence of HIV/AIDS
  • Conduct baseline studies using participatory approaches to identify the number of persons as well as orphans and vulnerable children (OVC) afflicted and affected by HIV/AIDS so as to determine their capacities, available resources and coping mechanisms
  • Encourage the youth to attend voluntary counselling and testing (VCT) to decrease risk behaviours by emphasizing consent, confidentiality and counselling aimed at decreasing stigma as more people know their HIV status
  • Develop and implement social support programmes to assist caregivers to provide counselling, home-based care and psychosocial support to persons living with HIV/AIDS (PLWHA) including orphans and vulnerable children (OVC) afflicted and affected by HIV/AIDS to participate in productive activities
  • Participate in the design, development, implementation and evaluation of capacity building programmes aimed at equipping and strengthening staff, volunteers and communities with capacity to provide HIV/AIDS care and support
  • Strengthen collaborative partnerships and networks with stakeholders, donors, government agencies, the private sector and other players to ensure implementation of programmes that enhance organizational effectiveness
  • Provide leadership to multidisciplinary teams to develop, implement and evaluate HIV-AIDS prevention and control activities using participatory community methods to improve performance standards and organisational effectiveness
  • Develop and implement lobby and advocacy programmes with a view to reform laws and policies that hamper the implementation of programmes
  • Prepare periodic progress reports and annual reports showing achievements against planned targets as well as providing justification for performance variances and areas of improvement
Requirements

Qualifications
  • Bachelor’s Degree in Public Health or equivalent qualifications such as epidemiology, nursing & social work
  • Three (3) years experience in planning, implementing and evaluating HIV/AIDS prevention and control programmes
Competencies

Position Title: Project Accountant

Reporting to: Branch Coordinator

Job location: Kilifi

Summary of Responsibilities

Responsible to the Branch Coordinator for maintaining records of financial transactions related to income and expenditure within Kilifi Branch.

S/he will support Lamu and Mpeketoni branches on finance matters from time to time.

Other duties include reconciling and balancing accounts as well as posting and compiling monthly reports to show records related to financial operations in the Branch.

Duties & Responsibilities
  • Receive cash or cheques, recording financial transactions and counting money to verify amounts and issuing receipts for funds received.
  • Maintain books of accounts by inserting data into the accounting system (electronic and manual).
  • Prepare payment vouchers and issuance of cheque payments to creditors and other accounts.
  • Recording of cheques issued in a cheque dispatch register and maintenance of the same.
  • Ensure that all payments or money transactions are properly supported by the required documents as outlined in the financial guidelines.
  • Ensure that receipts and invoices for all payments match the acceptable criteria.
  • To be responsible for the petty cash of the project, carry out daily cash reconciliation, make payments to KRCS volunteers, suppliers etc. and keep the Branch Coordinator informed of the available petty cash on a regular basis and prepare new money requests well in advance as may be required.
  • Carry out regular bank reconciliation.
  • To assist the Branch Co-ordinator in any other matters relating to finances or accounts.
Minimum Qualifications
  • CPA (K) or equivalent ACCA final level qualifications or a Bachelors Degree in a Business Related Field with CPA Part (II), Section 4.
  • At least two years experience in a busy accounts/ finance office
Key Competencies for the positions:
  • Strong communication and presentation skills in both English and Kiswahili, including ability to develop timely reports and prepare relevant publications.

Job Summary:

Reporting to the Finance Coordinator, the Operations Accountant is responsible for smooth running of daily operations.

The position supervises operation Staff, Cash office management, auditing documents and acting from time to time during the absence of the Finance coordinator as well as sitting for the Donor reporting Accountant when necessary.

The position will deputize the Finance Coordinator.

Responsibilities and Tasks

R1: Managing Finance operations
  • Implementing financial and procurement policies and procedures to the highest standard as laid down by the organization and in accordance with International standards.
  • Ensuring that Finance Officers duties are carried out as spelled in the respective Job Description
  • Attending to queries that arise during operation from both the internal and external clients
  • Ensuring daily backups of data transactions related to Finance office functions\
  • Processing of Financial transactions according to the laid down Policies and Procedures
  • Ensuring that the financial transaction documents are maintained and archived in a systematic manner per transaction number.
R2: Banking & Treasury management
  • Plan for all the banking errands.
  • Coordination with the bank & CARE security officer during banking.
  • Ensuring confidentiality during banking.
  • Ensuring Availability of cash to meet the project needs
  • Ensure the Bank reconciliations are correctly and timely done. Review the reconciliations before submitting to the Finance Manager.

Working Conditions:

The position is based at Dadaab Main Office (DMO) with frequent movements to Hagadera, Ifo and Dagahaley camps as well as any other extension camps and program sites. This is a none-family working station.

Hot weather is prevalent throughout the year with limited basic amenities. Road movement to and from work station to Garissa as well as inter-camp movement must be under police escort (Scheduled convoys). Strict adherence to security instructions all the time. It is a six days work station with a compensatory time off according to CTO policy.

The incumbent will be required to travel to Nairobi office and perform official responsibilities as will be required

The incumbent shall reside in the CARE compound while executing official duties and shall obey and adhere to residential compound regulations.

Qualifications, Experience and Competencies
  • Bachelor’s degree in accounting and a professional certification such as CPA II or ACCA equivalent level.
  • Three years proven work experience in a busy environment and at supervisory level
  • Experience in budget preparation and donor reporting
  • Good interpersonal skills
  • Excellent planning and organizing abilities
  • Proficient in Microsoft suite with excellent abilities to manipulate excel

As an Office Manager, you will be a valuable resource, charged with the following:
  • Initial preparation of Imprest reports on a bi-monthly basis while meeting the set out H.Q Imprest deadlines;
  • Petty Cash management;
  • Asset and inventory management - Safe keeping and distribution of office supplies while keeping a record of the same, in conjunction with the Finance and Admin Manager;
  • Document/ Record Management;
  • Procurement Management as per the USAID regulations;
  • Project Office Management – This involves coordinating travel requests, accommodation and immigration related duties and conferencing needs arrangements;
  • Process any VAT claims through the USAID offices in Kenya. Involves preparation of DA1 forms;
  • Administration Role – Support Deloitte staff, assist in formulating policies and standards that ensure a high level of integrity in Financial, Procurement and Travel support for our staff as well as provide guidance on the same;
  • Staff supervision - office cleaner (assistant), office messenger and project drivers;
  • Assist in preparing budgets and financial forecasts; and
  • Support the Finance and Administration Manager in any other assigned duties.
Qualifications:

As the ideal team player, you should possess the following attributes:
  • Degree in Business Administration or equivalent;
  • Accounting qualification: at least CPA II;
  • 4 years work experience;
  • Knowledge of USAID rules and regulations in reference to financial management and Procurement procedures will be an added advantage;
  • Project management and exposure in an work environment that is donor funded skills will be an added advantage;
  • People management skills;
  • Ability to multitask and work well under pressure; and
  • Good organisation and time management skills.

Management Accountant

Location: Nairobi

Our client, a leading FMCG Company focusing on personal care products is looking for a Management Accountant.

Reporting to the Finance Director, the successful candidate’s key role will be monitoring and advising management on the performance of the company in terms of costs and profitability as well as preparation of management accounts and reports.

Duties and Responsibilities:
  • Ensure Production of timely (before 4th of every month) and accurate financial reports and statements including the trial balance, profit and loss account, balance sheet and cash flow through Apogee accounting software.
  • Ensure proper maintenance of books of accounts that accurately depict current financial conditions as per laid down financial controls and procedures.
  • Ensure accurate maintenance of the general ledger (GL) and ensure that all GL accounts are reconciled before 15th of every month and any errors corrected.
  • Consolidate cost and revenues and extract monthly management information for decision making including the performance of Cost Centres against budgeted amounts.
  • Evaluate non-financial indicators, such as stock turnover, quick ratio, debtor’s ratios, cash ratios, profitability ratios, etc and report on their effect on businesses performance or profitability.
  • Issue monthly and yearly stock take instructions and oversee the stock take exercise (including spares, and factory consumables) and ensure accurate stock records in the ERP for Finished goods, WIP and Raw materials at all times. Investigate and promptly report on any variance.
  • Ensure that all costing (including Raw Materials, WIP and Finished goods) are done and captured accurately. Ensure accuracy of monthly weighted average costs.
  • Monitor costs such as motor vehicle maintenance, wages, overtime, materials, equipment maintenance, marketing and all other costs and identify areas of the business where inefficiencies may occur and advise the Finance Director accordingly.
  • Monitor sales performance in terms of value, margins and sales per SKU on a monthly and cumulative basis, compare with prior year, budget and report on variance.
  • Ensure that processes needed for the Quality Management System (ISO 9001:2000) are established, implemented and maintained.
Qualifications and experience
  • Advanced University Degree/ MBA in Finance or related field
  • CPA (K)
  • A minimum of 8 years progressive experience as a Management Accountant in a similar business environment.
  • Superior leadership and management skills; able to lead results based teams and inspire them to work together to achieve stretching objectives.
  • Mature, pleasant personality with outstanding communication skills.

Our Tanzania subsidiary is looking to recruit an Accountant whose role purpose will be the maintenance of accounting procedures, systems and processes to ensure reliable and timely information to Senior Management for decision making.

Key Responsibilities Areas include:

1. Treasury Management

Responsible for day to day treasury cash management including preparation of a cash update for the country manager;
Reconciliation of all cashbook to bank statements;
Review all receipts and disbursements, ascertaining correct account distribution and ensuring all support documentation is accurate and in order;

2. Taxes and Staff Payroll

Ensure accurate and timely processing and payment of commissions & payroll ;
Ensure payment of statutory payments by due date;
Ensure correct balances at all times on payroll, commission and risk premium related accounts on the general ledger;

3. Commissions Payroll

Ensure deductions from commissions & payroll are made as per agreement;

4. Debtor Management

5. Other Key Deliverables

Establish and maintain proper relations with various stakeholders within and outside the company including banks, suppliers, debtors, MSPs;
Ensure maintenance of effective internal controls to assure safeguarding of assets and reliability of financial statements;
Ensure compliance with all financial and contract reporting requirements for licensing, Audit and regulatory agencies;

6. Reporting

Preparation of the various reports including: Management Reports, Cash projection, Aged Debtors Report, Aged Suppliers Report;
In conjunction with the country manager prepare the annual company budget;
Ensure that all assets are properly recorded in the asset register and insured;
Preparation for the annual audit;
Any other duties that may be assigned from time to time;

Role competencies/skills:

Academic: 1st degree: commerce or business
Professional qualifications: CPA (K) or equivalent.
Minimum 2 years experience in similar position in a medium to large commercial environment.
Strong leadership skills with the ability to remain focused under pressure circumstances.
Experience in the use of accounting soft-wares.
High proficiency in the use of Excel and Word
Experience in an audit firm an added advantage.

Key Responsibilities
  • Perform regular fraud risk assessments to identify fraud risks and agree action plans with the process owners on how to seal any loopholes.
  • Review selected projects to identify fraud related risks and make mitigating recommendations.
  • Monitor implementation of agreed fraud mitigation action plans to ensure that they are implemented and provide guidance where necessary.
